PRIORITY
Authorizing Name To Remove Terminated Employee
Does the employee have any company-issued equipment? (yes/no)
Has all equipment been returned? (yes/no)
Do you need continued access to prior and current terminated employees email? (yes/no)
Should email be forwarded to someone?
Which systems should be disabled/revoked?
Severance or legal hold needed?
A legal hold is a directive to preserve data (email, files, records) for legal or compliance reasons, even after the employee is terminated. You might need a legal hold if: The employee is involved in a legal dispute or investigation. Their data is relevant to an ongoing audit or compliance review. HR or Legal advises it due to concerns about misconduct or potential litigation. Why it's on the form: If selected, IT will know not to delete or recycle the user’s email, OneDrive, or Teams data — possibly indefinitely — even if normal policy says to purge it after 30 days.
